ℹ️Slide updates feature is only available on Enterprise and Team enterprise plans. Learn more about BrandIn plans.
This article explains how the Slide updates feature works in BrandIn and how administrators can enable and manage it for their organization.
When this feature is enabled, certain slides can be locked for editing and marked with a link icon in the asset library. Users can insert these slides into their presentations as usual. If the original slide is later updated, users will be notified in PowerPoint and prompted to review the change. They can either apply the update or keep the current version. If they skip the update, they’ll be reminded again later.
How it works
When a user inserts a slide that is marked for slide updates:
- The slide is locked for editing and tracked for changes.
- If the source slide is updated, users receive a notification in PowerPoint the next time they open their presentation.ℹ️They'll also receive a notification when they close and reopen BrandIn while the file is open.
- Users can review the update before accepting it.
- Accepting the update will replace the slide with the latest version.
- Skipping the update will keep the current version. They will be reminded about the update until they accept it.
- All pending updates can also be reviewed at any time in the Check content section of the workspace home screen.
ℹ️For full detail see Slide updates for users.
How to enable the feature
You can enable the Slide updates slides feature from the slide library settings, or when adding a new or existing slide library to BrandIn.
Enable from library settings
- From the Workspace home screen, right-click on the slide library you want to update or select the More options button (three dots).
- Select Settings.
- In the library settings, select Details.
- Toggle Slide updates to On.
Enable when adding a slide library
When adding a new or existing library to BrandIn, toggle the Slide updates switch before adding the library.
ℹ️You can turn the Slide updates feature off at any time. If you turn it back on, the previous up-to-date settings for individual slides will be remembered.
How to mark slides to stay up to date
Once Slide updates are enabled for a library:
- Open the slide library from the Workspace home screen.
- Right-click on the slide you want to keep up to date, or select the More options button (three dots).
- Select Keep up to date from the menu.
ℹ️The file must contain a single slide. Multi-slide files and full presentations cannot be kept up to date.
The slide is then locked for users and tracked for updates. When the source file is changed, users who have inserted this slide into their presentation are notified the next time they open it and can review the changes.
How to update the source file
BrandIn tracks slides by their file ID. You can edit the original file or replace it with a newer version at the source. In both cases the file ID is retained and updates are tracked.
To update a slide, we recommend editing the original file directly at the source:
- Locate the slide you want to update in the slide library.
- Right-click the slide or select the More options button (three dots).
- Select Open online to open the slide in browser.
- Edit the file.
The changes will be detected by BrandIn, and any users who have inserted this slide into their presentations will be notified of the update the next time they open a presentation containing that slide.
How to disable slide updates
To stop tracking updates for a slide:
- Open the slide library from the Workspace home screen.
- Right-click on the slide or select the More options button (three dots).
- Uncheck Keep up to date.
When updates are disabled, users will be notified that the slide is no longer tracked for changes. They will also be given the option to unlink it from the source file. Once unlinked, the slide becomes editable like any other regular slide in the presentation.
Which slides are eligible
Only slides that meet these conditions can be marked for slide updates:
- The slide must be stored in a Slide library with the Slide updates feature enabled. Slides stored in the General library are not supported.
- The file must contain a single slide. Multi-slide files and full presentations cannot be kept up to date.
Slides that become ineligible
Slides marked for slide updates become ineligible if their source file is updated to contain more than one slide. When this happens, BrandIn pauses updates until the issue is resolved, and all administrators in the account are notified.
How to fix paused updates
To make a slide eligible again, edit the source file so it contains only a single slide, then validate the update in BrandIn.
- Right-click the slide in the slide library or select the More options button (three dots).
- Select Open online to open the file in your browser.
- Edit the file so it contains only a single slide. Files opened online are auto-saved.
- Return to BrandIn and open the list of paused updates from the toast notification or from the Check content section.
- Select Validate all to confirm the fix.
ℹ️You can also disable slide updates for ineligible slides. This unlinks them from the source and keeps them as multi-slide files, but they will no longer be tracked for updates.
